Soul Full Wellness Coaching & Retreats
Please read these Terms and Conditions carefully before booking any Soul Full Wellness retreat. By making a partial or full payment toward any retreat, you accept these terms. A signature is not required for general acceptance, only your separate video and photo release waiver requires a signature, which you'll complete as part of your retreat onboarding.
Each retreat page will list what is included and not included in your trip. Airfare, airport transfers, in-transit accommodation, visas, airport taxes, travel insurance, and alcohol are rarely included unless otherwise stated. Soul Full Wellness is a registered travel agent and can assist you with additional travel needs, just email rian@soulfullwellnessretreats.com.
To reserve your place on a retreat, complete our payment form and submit your deposit payment.
Soul Full Wellness considers these Terms and Conditions accepted by any guest who has made a partial or full payment toward a retreat. You are not required to sign this document for it to apply to you. Payments can be made via credit card, Venmo, invoice, or direct bank transfer. Final balances are due 30 days before the retreat start date, unless a specific retreat or add-on states otherwise. If final payment isn't received by that date, Soul Full Wellness reserves the right to cancel your reservation and offer your spot to another guest, and your deposit will be forfeited. Please note that credit card payments may incur processing fees, unless a specific retreat or add-on states otherwise.
To cancel your retreat, notify rian@soulfullwellnessretreats.com by email. Your cancellation takes effect once we've received your notice. We employ a strict no-refund policy as a general rule. Because Soul Full Wellness incurs real costs immediately upon a guest's acceptance and payment, we reserve the right not to refund monies under any circumstances. That said, refunds may be issued at our discretion depending on how close the cancellation is to the retreat start date, less administrative, advertising, and booking fees, where a reasonable timeframe allows.
We do everything we can to ensure retreats run without disruption, and your safety is always our priority. If we must cancel a retreat due to natural disaster, illness, civil unrest, or other circumstances beyond our control, guests may transfer their deposit to a future retreat within 12 months. Soul Full Wellness is not liable for refunds or reimbursements in this event. Guests may file a claim with their travel insurance provider for reimbursement, which is exactly why travel insurance is essential.
We reserve the right to make changes to a retreat's venue, teacher, itinerary, or other details when necessary, whether due to natural disaster, illness, civil unrest, death, closure, or other unforeseen circumstances. In these cases, guests may transfer their deposit to a future retreat within 12 months of the original start date. All other payments are forfeited, and Soul Full Wellness is not liable for reimbursing any amount beyond the deposit transfer. This is the responsibility of your travel insurance provider, which is why we require it, so you can file a claim for expenses like visas, passports, vaccinations, gear, or airline taxes affected by such a change.
It's each guest's responsibility to hold a valid passport, good for at least 6 months past your intended return date, and to confirm any visa requirements for their nationality and destination. Soul Full Wellness is not liable for compensation if a guest's passport or visa issues disrupt their travel.

Each guest is responsible for obtaining all required travel documents, including visas, unless otherwise noted. Retreat-specific document requirements are shared on our website or by request. Guests are responsible for obtaining any recommended immunizations; contact your nearest travel clinic for current requirements.
Soul Full Wellness takes reasonable steps to ensure guest safety. However, retreat activities carry inherent risks, some of which cannot be removed without changing the character of the experience itself. Depending on the retreat, activities may include hiking, backpacking, climbing, cycling, rock climbing, ropes courses, zip-lines, white-water rafting, kayaking, canoeing, swimming, snorkeling, surfing, or fishing, often in remote settings, sometimes hours from medical care, where communication and evacuation may be delayed.
Environmental risks can include water hazards, wildlife, falling rock, lightning, flash floods, and rapidly changing weather. Possible outcomes include hypothermia, frostbite, altitude illness, sunburn, heatstroke, dehydration, and other mild to serious conditions. Guests are responsible for their own safety throughout the retreat.
By participating, guests acknowledge these risks, including the risk of injury, illness, or death, understand that not every risk can be listed here, and voluntarily assume responsibility for both the risks described and those not specifically identified, including risks arising from their own actions during the retreat.
By participating in a Soul Full Wellness retreat, guests represent that they have no physical conditions or medical concerns that would adversely affect their ability to take part in yoga, movement, or other retreat activities. We strongly encourage guests to consult their healthcare provider before the retreat to confirm they're physically prepared.
Guests release Soul Full Wellness, including its owners, directors, employees, guides, yoga teachers, and partners, from liability for personal injury, illness, emotional distress, travel expenses, or property damage arising from retreat participation, including circumstances like weather, political conditions, wildlife, or other events beyond our control. Soul Full Wellness reserves the right to decline or remove any guest, at its discretion, without obligation to refund, if their presence is disruptive to the retreat. We are not responsible for guests who leave a retreat early or take part in activities outside the official itinerary.
By participating, guests grant Soul Full Wellness permission to use their image, video, or likeness, which may be edited, copied, exhibited, published, or distributed, without a right to review or approve the final product, and without royalties or compensation. This may include use across commercial settings, social media, video platforms, and broadcast media, in an unrestricted geographic area. This release requires a signature, which guests complete as a separate document during retreat onboarding.
For retreats where air travel is included, this will be clearly stated in the itinerary and pricing. Soul Full Wellness will assist with flight bookings, though additional costs from baggage fees, changes, upgrades, or special requests are the guest's responsibility.
Guests must hold a valid passport that does not expire within 6 months of their return date, along with any required visas. Travel documents should be submitted at least 90 days before the retreat start date. Failure to provide valid documents may result in forfeiture of your spot, with no refund.

Some retreats or add-on packages may include additional or different terms specific to that offer, which will always be stated clearly on that retreat's own page. As part of your onboarding for a booked retreat, you'll also receive a signed payment plan agreement and photo/video release waiver specific to your trip.
